How much does membership management software cost?

The cost of membership management software depends less on the headline monthly price and more on the pricing model behind it. Vendors charge by member count, a flat rate, a percentage of transactions, admin seats or modules, and many add setup fees, with payment processing charged on top. Most vendors combine two or three of the models below. Software directories such as Capterra list many membership platforms side by side, and the fastest way to make sense of them is to identify which models each vendor uses before comparing numbers.

Total cost of ownership checklist

The subscription fee is only one line of the budget. Before signing, add up every item below for the first year and for a typical year after launch:

  • Monthly or annual platform fee at your current member count
  • Platform fee at the member count you expect next year
  • Any percentage the vendor takes on member payments
  • Payment processing fees charged by the processor
  • Implementation, setup and configuration
  • Data migration from spreadsheets or a previous system
  • Add-on modules you need to run events, documents or a member app
  • Training for staff, volunteers and new board members
  • Custom development for workflows the product does not cover
  • Tools you still need to pay for alongside the platform
  • Staff time spent on manual reconciliation that the platform would remove

How member growth changes what you pay

Growth affects each pricing model differently. Tiered pricing jumps when you cross a threshold, so ask exactly where the next step is. Percentage-based pricing grows with every dues payment and ticket, which means your software cost rises in line with revenue even when your workload does not. Seat-based pricing grows with the size of your team rather than your membership.

A practical exercise: model three scenarios, such as your current member count, a modest growth year and a strong growth year, and calculate the full cost of each vendor in each scenario. The model that looks cheapest today is not always the cheapest at the size you are planning for.

How to compare membership software quotes side by side

Quotes arrive in different shapes: one vendor lists a monthly fee, another an annual contract with modules, a third a percentage of revenue. Converting them into the same format is the only way to compare them honestly.

    Write down your member count today and next year, how much you collect in dues and tickets, how many admins need access and which workflows you must run.

Is a percentage-of-transactions model ever the cheaper option?

It can be when payment volume is low, for example a new community collecting modest dues. Calculate the point where the percentage would exceed a fixed fee at your expected revenue, and revisit it as you grow.

Why are Stripe fees not included in Randel's price?

Because payments run on your own Stripe account, Stripe bills its processing fees directly. Check Stripe's official pricing page for current rates in your country.

What happens to Randel's price when we pass 250 members?

The platform fee moves to the next 250-member block, adding US$ 100/month. There is no separate charge per transaction as the community grows.

How is implementation priced at Randel?

Implementation is quoted from an agreed scope that is approved before work starts, so configuration, migration or custom development costs are known before you commit.
